To Baden Minor Softball Coaches, Assistant coaches and volunteers, 

Baden Minor Softball Association (BMSA) is mandating the completion of an annual police check on all coaching staff for the current season. Police checks must be completed or underway by May 15th, of the current season. If this deadline is not met, BMSA will suspend coaching staff until proof of the request has been given.

For all volunteers who had a Police Check completed previously (it may be used for 3 years max), you are not required to get a new police check for the current season. Photocopied records will be treated as confidential documents and securely retained for a period of three years at which point they will be destroyed. We do however require the following letter to be completed and returned by May 15th, of the current season.

If a coaching staff member has submitted a Police check in the previous season, they do not require a new police check form but will be required to complete an undertaking form available on the BMSA web site. After three full seasons, a new Police check is required (ie. undertaking forms can only be completed for two additional seasons following the season you submitted a Police check).

Police checks may be obtained from any regional police station, which are conveniently open each day around the clock if for some reason “mybackcheck” cannot verify your references. You will be asked to complete an application form and pay a fee of $10.00 (If you have this letter with you). Since non-volunteers pay $25.00 for this service, be sure to take advantage of the reduced rate by including a copy of the attached volunteer letter. The police check report  may take three weeks to process, therefore, please retain a copy of your  receipt as proof that the request is underway.

Please note that Baden Minor Softball association will reimburse for the Police check to a maximum of $15 for the cost of a police check. If registering on line, this discount is already taken into account and BMSA will be billed for the remaining cost of the online service.  

If you have been selected as a volunteer, you will receive an email from mybackcheck with the information you require to login and complete the application for your back ground check online. 

The original police check report OR copy of the above mentioned receipt must be received by May 15th, of the current season, in order to avoid suspension. For those showing the receipt only, the original police check must be forwarded when it is ready. The report and receipt should be dropped off in person to BMSA Executive Member. Please contact Mike Carey vp@badenminorball.com or Elaine Mason president@badenminorball.com to make arrangements. 

All original documentation will be returned, once reviewed and photocopied by the President. Photocopied records will be treated as confidential documents and securely retained for a period of three years, at which point they will be destroyed.
